Studio Magic LLC operates studiomagic.io and the client portal at clients.studiomagic.io.
This Privacy Policy explains how we collect, use, disclose, and retain information when you contact us, book or purchase services, use the client portal, or work with Studio Magic.

1. Information we collect
Depending on your interaction with us, we may collect:

Your name, email address, phone number, and business name.

Inquiry details, work orders, appointment information, and correspondence.

Project content, documents, photographs, and other files you provide.

Client portal account and project activity information.

Invoice, payment-status, and transaction information.

Audio, video, screen content, and information shared during recorded Zoom meetings.

Device, browser, usage, and similar technical information collected through our website and platform providers, depending on the features enabled.
Payment information is processed through providers such as Wix Payments and PayPal. Do not send payment-card details through ordinary email or project uploads.
2. How we use information
We use information to:

Respond to inquiries and communicate with you.

Schedule appointments, prepare scopes, and provide services.

Process payments and maintain business records.

Organize client projects and provide portal access.

Develop, review, and deliver project materials.

Troubleshoot issues and support website and portal operation.

Send relevant Studio Magic newsletters and promotional emails, subject to applicable law and your preferences.

Address privacy requests, resolve disputes, and meet legal obligations.
3. Service providers
We use services that may process information as needed for their role, including:

Wix services, including Contacts, Payments, Bookings, Automations, Analytics, and Email Marketing.

Base44 for the client project portal.
-
PayPal for payments where offered.
-
Google Workspace and shared Google Drive folders for communication and project files.
-
Zoom for meetings and recordings.
-
ChatGPT, Claude, Canva, Pixelcut, and Artlist for relevant content, design, and production tasks.
Not every provider receives every client’s information. Processing depends on the services and tools used for the project.
Providers may process information in the United States or other countries where they operate. Their applicable terms and privacy practices also govern their processing.
4. AI-assisted content and media
Client-supplied text or documents may be processed through AI tools for tasks such as organizing, refining, or developing content.
Images may be processed to improve quality, adjust presentation, or extend backgrounds. AI tools may also assist with code development.
Please do not upload customer databases, employee records, health information, financial account details, or other sensitive information unless a separate arrangement has been agreed.
Provider retention and model-training practices depend on the tool, account, and settings. This policy does not promise that every tool operates under identical processing conditions.
5. Meetings and recordings
Studio Magic records Zoom meetings for project reference and service delivery. Zoom displays a recording notification.
Please raise any concern before recording begins so we can discuss an alternative. Where additional permission is required, it must be obtained before recording.
Project-related recordings follow the retention practices below.
6. Marketing email
People who inquire about Studio Magic services may be added to our email marketing audience for relevant newsletters and promotional messages, subject to applicable law.
You can unsubscribe using the link at the bottom of a marketing email or by contacting hello@studiomagic.io. We honor marketing opt-out requests within the applicable legal deadline.
Unsubscribing from marketing does not prevent necessary communication about an active project, appointment, payment, or account.
Studio Magic does not currently send text-message marketing. A phone number supplied for project communication is not treated as permission for promotional texts.
7. Access and disclosure
Studio Magic’s owner manages the business’s accounts and client information.
If a project requires a third-party developer, the client will be asked to authorize the necessary contributor access. Contributors appointed by a client operate under the client’s own access decisions and arrangements.
We do not sell contact lists or exchange inquiry information with referral partners for payment or another benefit.
We may disclose information where required by law or reasonably necessary to address fraud, security incidents, disputes, or protection of legal rights.
Our use of advertising technologies, if introduced, will require review of the relevant disclosures and visitor choices. Future tools are not treated as currently installed merely because they are mentioned as possibilities.
8. Retention
Different records have different purposes:

Inquiry and contact records: Currently retained on an ongoing basis for business communication and relationship records, subject to applicable law and valid deletion requests.

Completed-project working files and Zoom recordings: Retained for 30 days after project completion or ownership transfer, as applicable. They may be deleted after that period; this is not a promise of automatic deletion on day 30.

Active client portal information: Retained as needed to provide the active service and manage the project.

Invoices, agreements, and related records: Retained where needed for accounting, tax, legal, dispute-resolution, or other legitimate recordkeeping requirements.

Marketing opt-out records: Limited information may be retained to ensure an unsubscribe request continues to be honored.
Provider backups and records may follow separate retention schedules. Studio Magic does not promise indefinite storage of completed-project materials.
9. Your requests and choices
You may email hello@studiomagic.io to request access to, correction of, or deletion of personal information Studio Magic holds about you.
We may need to verify your identity and clarify your request. We respond in accordance with applicable law. Some information may need to be retained for legal obligations, an active service, transaction records, or other permitted reasons.
Depending on your location and applicable law, you may have additional rights. Contact us to make a request or raise a concern.
Requests concerning information controlled by another business or platform may need to be directed to that organization.
10. Cookies and website activity
Our website and portal may use cookies or similar technologies to support functions such as sessions, authentication, and platform operation. Analytics and other tracking depend on the configuration in use.

11. Children
Studio Magic’s business services and client accounts are intended for adults acting for businesses or organizations. We do not knowingly solicit personal information from children under 13.
If you believe a child has provided personal information, contact us so we can review and address it.
12. Third-party links and security
Links to social platforms and other external websites lead to services with their own privacy practices.
We take reasonable measures appropriate to the information and services involved, but no method of transmission or storage is completely secure. Keep your portal credentials private and avoid sending sensitive information through ordinary email.
13. Policy updates
We may update this policy as our services or practices change. The effective date will identify the current version. Where required, we will provide additional notice or obtain permission before materially changing how information is used.
